Coaching Call Log Web Application

1. Introduction
This Privacy Policy describes how Fassforward Inc. ("Company," "we," "us," or "our"), a consulting firm based in New York, United States, collects, uses, and protects information through the Coaching Call Log web application (the "Application").
The Application is an internal business tool. It is available exclusively to authorized coaches and staff of the Company for the purpose of recording and managing coaching call records. The Application is not offered to the general public, and no public sign-up is available.
By accessing or using the Application, you acknowledge that you have read and understood this Privacy Policy.
2. Information We Collect
2.1 Google Account Information
When you sign in to the Application using your Google account, we receive basic profile information from Google, including your name, email address, and profile picture. This information is used solely to identify you within the Application and associate call records with your account.
2.2 Google Calendar Data
With your explicit authorization through Google's OAuth consent process, the Application connects to your Google Calendar to retrieve information about your scheduled coaching calls. The Calendar data we access may include:
- Event titles and descriptions
- Event dates, start times, and end times
- Attendee names and email addresses associated with coaching events
- Meeting links attached to calendar events
We access only the Calendar data necessary to display and log your coaching calls. We do not access, modify, or delete calendar events beyond what is required for the Application's stated functionality.
2.3 Information You Provide
Coaches may manually enter information into the Application, such as call notes, call outcomes, session summaries, client references, and related records created in the ordinary course of their coaching work.
2.4 Technical Information
We may collect limited technical data such as login timestamps and basic usage logs for security, troubleshooting, and audit purposes.
3. How We Use Your Information
We use the information collected through the Application only for the following internal business purposes:
- To authenticate authorized users and provide access to the Application
- To display scheduled coaching calls retrieved from Google Calendar
- To allow coaches to create, view, and manage call log records
- To maintain accurate internal records of coaching activity
- To secure, maintain, troubleshoot, and improve the Application
We do not use your information for advertising, marketing, profiling, or any purpose unrelated to the Application's internal call logging function.
4. Google API Services: Limited Use Disclosure
The Application's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, we affirm that:
- Google user data is used only to provide and improve the user-facing features of the Application described in this Privacy Policy.
- We do not transfer Google user data to third parties, except as necessary to provide the Application's features, to comply with applicable law, or as part of a merger or acquisition with notice to users.
- We do not use Google user data for serving advertisements.
- We do not allow humans to read Google user data, unless we have your affirmative agreement, it is necessary for security purposes, it is required to comply with applicable law, or the data has been aggregated and anonymized for internal operations.
- We do not use Google user data, including Google Calendar data, to develop, improve, or train generalized artificial intelligence or machine learning models.
5. How We Share Information
We do not sell, rent, trade, or otherwise disclose your personal information or Google user data to third parties. Information may be shared only in the following limited circumstances:
- Internal access. Call records may be visible to other authorized Company personnel who require access for legitimate business purposes.
- Service providers. We may rely on hosting and infrastructure providers that store or process data on our behalf, subject to appropriate confidentiality and security obligations.
- Legal requirements. We may disclose information when required by law, regulation, subpoena, or other valid legal process.
6. Data Storage and Security
We take reasonable administrative, technical, and physical measures to protect the information processed by the Application, including:
- Encryption of data in transit using HTTPS/TLS
- Access restricted to authenticated, authorized Company personnel only
- OAuth 2.0 authentication through Google, so the Application never receives or stores your Google password
- Secure storage of access tokens with access limited to the Application's server environment
While we work to protect your information, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Data Retention and Deletion
Call log records are retained for as long as needed for the Company's legitimate internal business and record-keeping purposes. Google Calendar data retrieved by the Application is used to display and log calls and is not retained beyond what is necessary for that purpose.
When a coach leaves the Company or their access is revoked, their authentication credentials and stored Google access tokens are deactivated and deleted.
You may revoke the Application's access to your Google account at any time through your Google Account security settings at https://myaccount.google.com/permissions. Upon revocation, the Application can no longer access your Google Calendar data.
You may also request deletion of your personal data by contacting us using the details in Section 11. We will respond to verified requests within a reasonable timeframe and in accordance with applicable law.
8. Your Rights
Depending on applicable law, you may have the right to access, correct, or delete personal information we hold about you, and to object to or restrict certain processing. Authorized users may exercise these rights by contacting us using the details below.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date above and, where changes are material, notify authorized users through the Application or by email. Continued use of the Application after changes take effect constitutes acceptance of the updated policy.
